Any Quail Creek Chartered Club wishing to be considered for a 2026 Property Owners Association (POA) budget allocation shall follow the process as outlined below. All requests shall be documented on a 2026 QC Chartered Club Budget Request Form and processed/handled through the QC General Manager’s office.
The cost for repairs and/or replacement of POA-owned assets due to normal wear and tear will be paid for by the POA. The cost to purchase a new physical asset, if approved by the board, must be shared equally between the club and the POA. The purchase of all assets must be coordinated through the General Manager’s office. Repairs and POA-owned asset replacement will be completed using the existing work order process.
Reimbursement for any item(s) a club obtained on their own in 2025 or earlier is not eligible in this 2026 budgeting process.
Each club, with approximately a one-week notice, may be asked, on a specific date and time to be determined, to participate in a review of their submission with members of the QC Finance Committee. This review process is intended to be relatively short in duration per club. The purpose is for Finance Committee and/or POA Management members to ask any open questions they may have for clarification purposes in regard to the club budget request.
When the club review meetings have concluded, the QC General Manager and the QC Finance Committee shall jointly review all submitted appropriation requests and prepare a recommendation list for approval by the board. In this step of the process, additional questions may be asked of the club involved.
Once the POA board approves the final 2026 POA Budget, the chartered clubs shall be notified accordingly. Disbursement, which can be done in total or in increments, shall occur in 2026 through the QC General Manager’s office after receipt of the applicable paid invoices.
